
IMPORTANT INFORMATION FOR STUDENTS AND DOCTORAL STUDENTS
Dear students and doctoral students,
Between 17 and 19 July 2026, the addresses used to sign in to Microsoft 365 services will be changed.
Please find below further information about the change, as well as an FAQ section explaining its implications.
Following the change, students will sign in to Microsoft 365 using the following new identifier:
student_number@student.uwr.edu.pl
The current student address, student_number@uwr.edu.pl, will no longer be used to sign in to Microsoft 365. However, it will remain active as an email alias. This means that messages sent to the current address will still be delivered to the user’s mailbox, which will be accessible after signing in with the new identifier.
Doctoral students will sign in to Microsoft 365 using the following new identifier:
student_number@phd.uwr.edu.pl
The current doctoral student address, student_number@uwr.edu.pl, will no longer be used to sign in to Microsoft 365. However, it will remain active as an email alias. This means that messages sent to the current address will still be delivered to the user’s mailbox, which will be accessible after signing in with the new identifier.
This change does not affect signing in to USOSweb. Please continue to sign in to USOSweb in the usual way.
Please remember that the IT Services Department will never ask you to provide your password by email or through a form accessed via a link.

FAQ:
1. What does the change concern?
The change concerns the addresses used to sign in to Microsoft 365 services, such as Outlook, Teams, OneDrive and Office applications.
Following the change, students and doctoral students will sign in to Microsoft 365 using an address in the following format:
students: student_number@student.uwr.edu.pl
doctoral students: student_number@phd.uwr.edu.pl
The current address in the format student_number@uwr.edu.pl will no longer be used as the sign-in identifier for Microsoft 365 services.
2. Who will be affected by the change?
The change applies to:
- students;
- doctoral students.
For doctoral students, the change will also affect the primary email address displayed in Microsoft 365 services.
3. When will the change take effect?
The change will be implemented between
17 and 19 July 2026
During the implementation process, temporary problems with signing in to Microsoft 365 services may occur.
4. What will the new Microsoft 365 sign-in ID be?
Students: student_number@student.uwr.edu.pl
Doctoral students: student_number@phd.uwr.edu.pl
This identifier should be used when signing in to:
- Outlook,
- Teams,
- OneDrive,
- MS Office applications;
- the Microsoft 365 portal;
- other services using a University of Wrocław Microsoft 365 account.
After the change, both students and doctoral students will sign in using the following identifiers:
doctoral students: student_number@phd.uwr.edu.pl
students: student_number@student.uwr.edu.pl
5. Will the current sign-in ID, student_number@uwr.edu.pl, still work?
No. Following the change, the address: student_number@uwr.edu.pl will no longer be used to sign in to Microsoft 365 services.
However, the old identifier, student_number@uwr.edu.pl, will remain active as an email alias. This means that messages sent to this address will still be delivered to the mailbox associated with the new address.
6. Does the change affect USOSweb?
No. The change does not affect signing in to USOSweb or services associated with the USOS system.
Please continue to sign in to USOSweb in the usual way. Signing in to USOSweb and related services will remain unchanged.
7. Will I lose access to my email account?
No. The change will not result in the deletion of your mailbox.
You will continue to use the same mailbox. Only the addresses assigned to the account and the Microsoft 365 sign-in identifier will change.
Messages sent to your current address in the @uwr.edu.pl domain will continue to be delivered.
8. Will my existing emails be deleted?
No. Changing the sign-in domain will not delete your existing correspondence.
You will continue to use the same account and the same mailbox. Only its name will change.
9. What will change for students?
Following the change, the following details will apply to students:

The address student_number@uwr.edu.pl will remain active as an alias, which means that messages sent to the old address will continue to be delivered to the mailbox.
10. What will change for doctoral students?
Following the change, the following details will apply to doctoral students:

In practice, this means that doctoral students will sign in to Microsoft 365 using student_number@phd.uwr.edu.pl, while firstname.surname@phd.uwr.edu.pl will be displayed as their primary email address in Microsoft 365 services.
11. Why will doctoral students have a different sign-in ID and primary email address?
For doctoral students, it is important to distinguish between two elements:
- sign-in ID – the address used to sign in to Microsoft 365: student_number@phd.uwr.edu.pl
- primary email address – the address displayed as the main email address. To distinguish doctoral students, they are entitled to use an email address in the following format: firstname.surname@phd.uwr.edu.pl
Following the change, the sign-in ID will be: student_number@phd.uwr.edu.pl
The primary email address will be: firstname.surname@phd.uwr.edu.pl
12. Will a doctoral student’s firstname.surname@uwr.edu.pl address stop working?
No. The current address: firstname.surname@uwr.edu.pl will remain active as an email alias. Messages sent to this address will continue to be delivered to the same mailbox.
13. Do I need to change anything in Outlook?
In most cases, the change should be applied automatically. Should Outlook ask you to sign in again, please use your new identifier:
doctoral students: student_number@phd.uwr.edu.pl
students: student_number@student.uwr.edu.pl
14. Do I need to change anything in Teams?
Should Teams ask you to sign in again, please use your new identifier:
- students: student_number@student.uwr.edu.pl
- doctoral students: student_number@phd.uwr.edu.pl
Should you experience any problems, sign out of the application and sign in again.
15. Do I need to change anything in OneDrive?
Should OneDrive ask you to sign in again or stop synchronising, please sign in again using your new identifier:
- students: student_number@student.uwr.edu.pl
- doctoral students: student_number@phd.uwr.edu.pl
Before the change, please do not delete any local files or disconnect synchronisation unless necessary.
16. Will the mobile applications continue to work?
Yes. However, following the change, mobile applications may ask you to sign in again. This applies in particular to:
- Outlook,
- Teams,
- OneDrive,
- Microsoft Authenticator,
- Office applications.
In such cases, please use your new identifier:

students: student_number@student.uwr.edu.pl
17. Do I need to change my password?
No. The change of the account domain does not in itself require you to change your password. Please continue to use your current password unless the system asks you to change it for another reason.
18. Do I need to configure MFA again?
No. The change of the sign-in identifier should not require MFA, or multi-factor authentication, to be configured again.
Should the system ask you to confirm a sign-in attempt, only approve a sign-in attempt that you have initiated yourself. Do not approve unexpected sign-in requests.
19. Could there be sign-in problems following the change?
Yes. Individual problems may occur if applications have saved the old identifier.
Please first:
- sign out of the application;
- restart the application;
- sign in using your new identifier:
- students: student_number@student.uwr.edu.pl
- doctoral students: student_number@phd.uwr.edu.pl
Should the problem persist, please contact ITSM.
20. Do I need to update my email address on external websites and services?
Yes, this is recommended.
Where your University email address has been used on external websites and services for contact, password recovery or signing in, you should update it to your new address.
It is also recommended that you update your email address in external systems and services.
21. Will messages sent to my old address be forwarded?
Yes. The old address will remain active as an email alias for the account.
This means that messages sent to the current address will continue to be delivered to the same mailbox. You do not need to set up separate email forwarding.
22. Can I continue to provide my old address as my contact address?
Technically, messages sent to the old address will continue to be delivered. However, you are advised to use your new address as your current contact address.
In the longer term, you should use your new address.
23. Will the change create a new account?
No. The change will not create a new account.
The sign-in identifier and primary address assigned to the Microsoft 365 account will change. The mailbox, data and services will remain assigned to the same account.
24. Will the change affect my files in OneDrive?
The change should not affect the contents of your OneDrive.
Should the OneDrive application ask you to sign in again, please use your new identifier.
25. Will the change affect my teams and chats in Teams?
The change should not affect your access to teams, channels or chats in Teams.
However, you may need to sign in to the Teams application again.
26. Will the change affect my Microsoft 365 licence?
No. The change concerns the sign-in identifier and the addresses assigned to the account. It will not change the scope of your licence.
Should you lose access to an application or service, please report the problem through ITSM.
27. Do I need to update my email signature?
Yes. Following the change, you should check your email signature, particularly if it contains your current email address.
Doctoral students are advised to use the following address: firstname.surname@phd.uwr.edu.pl
28. Do I need to update my email address in documents, forms or my CV?
Where your old email address appears in documents, forms, external systems or your CV, you are advised to update it.
The old address will continue to work as an alias, but the new address should be treated as your current address.
29. Does the change affect University employees?
No. This FAQ concerns changes to the account domains of students and doctoral students.
Where a person also has an employee account, the method of signing in to that account is not affected by this change.
30. How can I recognise a genuine notification about the change?
A genuine notification:
- will not ask you to provide your password;
- will not contain a form asking you to enter your password;
- will not ask you to approve an unexpected sign-in attempt;
- will direct you to official University of Wrocław or Microsoft 365 websites.
The IT Services Department will never ask you to provide your sign-in ID and password by email.
31. What should I do if I receive a suspicious message about the account change?
Do not click any links or enter your password.
Please report the suspicious message to the IT Services Department through ITSM or forward it to: pomoc@uwr.edu.pl
32. What should I do if I cannot sign in after the change?
Please check that you are using your new identifier:
- students: student_number@student.uwr.edu.pl
- doctoral students: student_number@phd.uwr.edu.pl
Should the problem persist:
- report the problem through ITSM or by emailing pomoc@uwr.edu.pl;
- close the application;
- restart it;
- try signing in through a web browser;
33. Will the change affect signing in to Eduroam?
Yes. Once the new email addresses have been activated, you will need to use your new address when signing in to Eduroam:
- students: student_number@student.uwr.edu.pl
- doctoral students: student_number@phd.uwr.edu.pl
34. Where can I obtain assistance if necessary?
Should you have any questions or experience any problems, please contact ITSM or email: pomoc@uwr.edu.pl
35. What information should I include in a support request sent to pomoc@uwr.edu.pl?
Please include the following information in your request:
- your full name;
- your student number;
- the service affected by the problem;
- the wording of the error message or a screenshot;
- whether the problem occurs in a web browser, desktop application or mobile application.
Do not include your password.
36. How will users sign in to library services?
For the following services:
- the Library catalogue: katalog.uwr.edu.pl
- proxy services;
- the University of Wrocław Digital Library;
- the University of Wrocław Repository;
- TransLab – the virtual transcription laboratory;
the new sign-in identifier for students will be: student_number@student.uwr.edu.pl
the new sign-in identifier for doctoral students will be: student_number@phd.uwr.edu.pl
The current address in the format student_number@uwr.edu.pl will no longer be used for signing in.
Changing the sign-in identifier will not create a new library account or result in the loss of any existing account data.
